Summary

Administrative Support for the Nadmadwin Mental Health Program performs administrative tasks and office support duties.

Responsibilities

  1. Assist with administrative support to clients, families, staff and health care professionals.
  2. Schedule and maintain appointment calendars and book meeting rooms in collaboration with staff, service providers.
  3. Support staff in analyzing data and relevant information to: compose reports, compile statistics, and prepare letters, memos and agendas.
  4. Independently respond to both verbal and written inquiries.
  5. Initiate and maintain confidential medical records
  6. Prepare information requests, follow ups, reminders, and other general correspondence as appropriate or as directed by Manager and health care professionals.
  7. Maintain Electronic Medical Records.
  8. Ensure confidentiality in the provision of health services at all points of contact with clients and health professionals both in person and via telephone;
  9. Contact clients by mail, email & telephone for scheduled psychiatrist/psychologist or other appointment notices and reminders to clients;
  10. Coordinate intake meetings and provide note taking for staff meetings and ensure follow-up occurs with clientele when reviewing intake minutes at staff meetings;
  11. Other administrative duties within NAANDWECHIGE-GAMIG as require, such as covering for the main administration area.

Qualification and skills

  • College diploma (Administrative – Medical Support program or business college equivalent); OSSD diploma;
  • 2 years’ experience in an administrative role.
  • Experience with Electronic Medical Records Software.
  • MHFA and A.S.I.S.T Training is an asset.
  • Ability to communicate and work effectively on a multidisciplinary team.
  • Excellent computer skills: Word, Excel, PowerPoint, Outlook, Calendar
  • Strong knowledge of general office procedures
  • Strong working knowledge of software packages.
